Accounting books, journal entries and year-end close

Fix "FY is closed", close or reopen a financial year in the right order, journal entry errors, and "Off by ₹X" warnings on balance sheet, trial balance and other reports

Everything here is under Finance → Accounting books. The financial year (FY) runs 1 April to 31 March.

"FY X is closed. Reopen it (Year-end Close) before posting into it."

You are recording something (donation, expense, payroll, journal entry, asset) dated in a closed year. Either change the date, or reopen that year in Accounting books → Year-end.

Close a financial year

Only the Super admin can close or reopen a year ("Only Super Admin can close a financial year").

  1. Close years oldest first: "FY X has books of its own and is still open. Close FY X first..."
  2. Post or discard all draft entries: "FY X has N journal entries that are not posted..."
  3. Books must balance: "Books for FY X are out of balance by ₹..." This is usually a missing opening balance (Accounting books → Opening balances) or an unposted entry. You can acknowledge a remaining difference over ₹1; it is carried to a suspense line. Differences under ₹1 are absorbed.
  4. The checklist shows: all journal entries posted, balance sheet balances, bank reconciliations done.

Reopen a year

Reopen newest first: "FY Y is closed and was built on the carry-forward from FY X. Reopen FY Y first..." After fixing, close them again oldest first.

Journal entry errors

  • "Debits (x) must equal credits (y)": the two sides must add up.
  • "Only DRAFT entries can be edited/deleted": a posted entry cannot be edited. Reverse it and post a correct one.
  • "Cannot approve your own journal entry — dual-control required": someone else must approve.
  • "Only Super Admin can approve journal entries".

"Off by ₹X" warnings on reports

Balance sheet, trial balance, receipts & payments and cash flow compare your books with account balances. A difference is shown as a warning, not an error. Common causes:

  • Opening balances not entered for the first year you use Sevastack.
  • A year that was never closed: "A difference is expected until the year is closed".
  • Draft entries not posted.
  • Bank reconciliation: "Unexplained difference: ₹X — add reconciling items". The balance sheet warning lists the likely reasons with links.

Finance → Reports and the report tabs in Accounting books. Tally export and import are under Accounting books.
