Donors: import, duplicates, merge, PAN and donor portal
Import donors from Excel/CSV, fix "donor already exists", merge duplicate donors, reveal PAN, and help donors log in to the donor portal

Import donors
Donors → Import. Upload .csv, .xlsx or .xls, up to 5,000 rows per file. Use Download template for the right columns.
- Required:
name. - Optional: email, phone, pan, type, category, address, city, state, pincode, nationality, notes, notifyNewProjects.
typemust be INDIVIDUAL, CORPORATE, INSTITUTION, GOVERNMENT or FOREIGN.categorymust be ONE_TIME, RECURRING, MAJOR or CSR_PARTNER.
Row errors and fixes:
- "Donor name is required": fill the name.
PAN "X" is invalid (expected ABCDE1234F): 5 letters, 4 digits, 1 letter.- "Maximum 5000 rows per import. Split into multiple files."
- "Your plan allows N ... Upgrade or remove some before importing."
Undo an import within 24 hours; after that: "Undo window expired (24h)".
"A donor with similar details already exists"
A donor with the same email, phone or ID number is already saved. Open that donor instead of adding a new one.
Merge duplicate donors
- Go to Donors and tick two or more donors.
- Click Merge and pick the record to keep.
- Empty fields on the kept record are filled from the others, tags are combined, and donations move to the kept donor. If any record had opted out of emails, the merged donor stays opted out.
PAN
PAN is shown masked. People with donor-management permission can click to reveal it; every reveal is recorded in the Activity log.
Donor portal
Donors sign in at /donor-portal with their email and a 6-digit code (valid 10 minutes, 5 tries). They stay signed in for 30 days and can download their receipts.
- "No donor account found for this email.": the email must match the one on the donor record. Check the spelling on the donor and save it in lowercase.
- "OTP expired..." / "Too many attempts. Request a new OTP.": request a new code.
- A donor who gives to two NGOs with the same email sees only one of them.
