Daan Utsav, India's festival of giving, is ending. Maybe your NGO got new donors this week. Some may have given for the first time.
Here is the truth many NGOs miss: the first donation is only the beginning. What you do in the next few days and weeks decides if that donor gives again or forgets you.
In this post, we give you a simple plan to thank your new donors and keep them with you. You do not need a big team or a big budget.
Why thanking donors matters so much
Think about your own life. If you give money to someone and they never say thank you, will you give again? Probably not.
Donors feel the same way. They want to know three things:
Did my money reach you?
What did you do with it?
Do you value me?
If you answer these three questions quickly, many first-time donors will become regular donors.
Step 1: Say thank you within 48 hours
Do this first. Do not wait for the festival season to be fully over.
Send a short thank-you message to every new donor within 2 days. You can use:
WhatsApp (the fastest way in India)
Email
SMS
A phone call for big donors
Keep it short, warm and personal. Use the donor's name. A message that says "Dear Donor" feels cold. A message that says "Dear Priya ji" feels warm.
Sample thank-you message (WhatsApp)
Namaste Priya ji, thank you so much for your gift of ₹2,000 during Daan Utsav. Your help will provide 20 school kits to children in our village school. We will share an update with you soon. With gratitude, Team [NGO Name]
Sample thank-you message (Email)
Subject: Thank you, Priya ji. Your gift is already at work
Dear Priya ji,
Thank you for your generous gift of ₹2,000. Because of you, 20 children will receive school kits this month.
Your tax receipt is attached. We will send you a short update in 3 weeks to show you how your gift was used.
With deep gratitude,
[Name], [NGO Name]
Notice the pattern: thank you + what the gift will do + what comes next.
Step 2: Send the tax receipt quickly
Donors who want a tax benefit need their receipt. A late receipt makes donors worry. Send it in the same message or within a day or two.
Check every receipt before sending:
Donor's name and PAN are correct
Amount and date are correct
Your NGO's registration details are correct
Wrong details can create trouble for the donor later. With Sevastack, receipts are made automatically after payment, which saves you from this manual work.
Step 3: Tell them where the money goes
Donors love clear answers. Do not say "your money will help children". Say "your ₹500 will give 5 children one nutritious meal."
Simple examples work best:
₹500 = 5 meals
₹1,000 = one month of books for a child
₹2,000 = 20 school kits
Use numbers your NGO can really deliver. Never exaggerate.
Step 4: Share a small update in 2-3 weeks
This step is the one most NGOs skip, and it is the one that matters most.
Send a short update with:
One photo (with proper permission, especially for children)
One short story of one person you helped
One number showing the result
Example: "Last week, 20 children in Rampur received their school kits. Here is Anita, Class 4, with her new bag. Thank you for making this possible."
That is enough. Do not send long reports.
Step 5: Ask for a small next step, not more money
After you thank them, do not ask for another donation right away. Instead, invite donors to do something easy:
Follow your WhatsApp channel or social media page
Visit your project (if possible)
Share your story with one friend
Join a short volunteer day
When donors feel part of your work, they give again without being pushed.
Step 6: Invite them to give monthly (after 30-45 days)
After the thank-you and update, you can gently ask: "Would you like to support us with a small amount every month?"
Even ₹200 a month gives you steady funds and helps you plan. Make monthly giving very easy, with one link and one click.
Your 30-day donor plan at a glance
When | What to do |
|---|---|
Within 2 days | Thank-you message and tax receipt |
Week 1 | Add the donor to your list with notes (how they gave, how much) |
Week 2-3 | Send a short update with one photo and one story |
Week 4 | Invite them to follow, share or volunteer |
Day 30-45 | Gently invite them to give monthly |
6 mistakes NGOs make after a campaign
Not saying thank you at all. This is the biggest mistake.
Sending the same message to everyone. Treat big and small donors with equal respect, but personalise where you can.
Late or wrong receipts. This hurts trust.
Going silent for months. Then asking for money again. Donors feel used.
Not saving donor details. Keep names, phone numbers, email and giving history safely in one place, not in many WhatsApp chats.
Sharing photos without permission. Always take consent, especially for children.

Frequently asked questions
How soon should an NGO thank a new donor?
Within 48 hours is best. The sooner you thank, the stronger the connection.
What is the best way to thank donors in India?
WhatsApp and email work best for most donors. For large donors, a personal phone call is even better.
Should we ask first-time donors for another donation soon?
Wait. First thank them, share an update, and build trust. Ask for monthly giving after 30 to 45 days.
How do we keep track of many donors?
Use a donor management tool instead of many WhatsApp chats or loose sheets. It keeps names, amounts, receipts and dates in one place.
Is it okay to send a photo of our beneficiaries?
Only with proper permission. For children, take consent from parents or guardians and protect their privacy.
