Tally vs NGO Management Software: What Should Your NGO Use?

Many NGOs in India use Tally.

And honestly, there is nothing wrong with that.

Tally is one of the most trusted tools for accounting. It helps NGOs maintain books, record income and expenses, track payments, and prepare financial data for audits.

But here is the problem.

Most NGOs try to use Tally for everything.

Donor records.
80G receipts.
Campaign tracking.
CSR reports.
Follow-ups.
Project updates.

And that is where things start becoming messy.

Tally is good for accounting.

But an NGO needs more than accounting.

What Tally Is Good For

Tally is mainly built for finance and accounting.

For NGOs, it can help with:

  • Recording donations as income

  • Managing expenses

  • Tracking bank and cash transactions

  • Creating ledgers

  • Preparing financial reports

  • Helping during audit

If your main requirement is bookkeeping, Tally is useful.

Your CA or accountant may also prefer Tally because it is familiar and widely used.

So the question is not whether Tally is bad.

The real question is:

Is Tally enough to manage your entire NGO?

The answer is usually no.

Where Tally Starts Falling Short for NGOs

As your NGO grows, your work is not limited to accounts.

You also need to manage people, relationships, projects, compliance, and communication.

This is where Tally becomes limited.

1. Tally Does Not Manage Donor Relationships

Tally can record a donation.

But it cannot properly manage the donor relationship.

For example, it does not easily help you track:

  • Who donated last month

  • Who has not donated again

  • Who needs a thank-you message

  • Which donor supported which campaign

  • When to follow up with a donor

For NGOs, this matters a lot.

A donor is not just a transaction.

A donor is a relationship.

If you only record donations but don’t manage relationships, you may lose repeat donors.

2. 80G Receipts Are Still Often Manual

Many NGOs using Tally still create 80G receipts manually.

This creates problems like:

  • Wrong donor details

  • Receipt number mismatch

  • Delayed receipts

  • Missing donation records

  • Errors during Form 10BD filing

A donor expects a proper receipt quickly.

If receipt generation is slow or inaccurate, trust reduces.

NGO management software helps by keeping donor data, donation details, and receipts connected in one place.

3. Tally Does Not Track Campaigns Properly

Let’s say your NGO runs three campaigns:

  • Education support

  • Medical relief

  • Women empowerment

In Tally, you may record income and expenses, but campaign-wise tracking becomes difficult unless your accounting structure is very carefully maintained.

NGOs need to know:

  • Which campaign raised how much

  • Which donor gave to which campaign

  • How much was spent

  • What impact was created

  • What update should be sent to donors

This is not simple inside Tally.

A proper NGO management system is built for this kind of tracking.

4. Tally Does Not Help with Donor Communication

One of the biggest reasons donors stop giving is lack of communication.

After donation, many NGOs do not send:

  • Thank-you messages

  • Project updates

  • Milestone updates

  • Impact reports

  • Renewal reminders

Tally cannot help much with this.

It stores financial entries, but it does not manage communication workflows.

For fundraising growth, communication is not optional. It is part of donor trust.

5. CSR Reporting Needs More Than Accounting

CSR teams do not only want financial data.

They also want:

  • Project progress

  • Fund utilization

  • Beneficiary updates

  • Milestone reports

  • Utilization certificates

  • Impact stories

  • Compliance documents

Tally can support financial records, but it cannot manage the full CSR reporting cycle.

That is why NGOs working with companies need a more structured system.

6. Compliance Becomes Scattered

NGOs need to manage many compliance-related documents:

  • 12A

  • 80G

  • CSR-1

  • FCRA

  • Audit reports

  • Form 10B / 10BB

  • Form 10BD

  • Form 10BE

Tally may help with accounting data, but it does not organize the complete compliance journey.

Most NGOs still keep documents in folders, emails, WhatsApp, or Google Drive.

This becomes risky during audits, renewals, or CSR due diligence.

So, Should NGOs Stop Using Tally?

No.

Tally is still useful.

Your NGO can continue using Tally for accounting and financial reporting.

But you should not depend on Tally to manage your entire NGO.

The better approach is:

Use Tally for accounting.
Use NGO management software for operations.

Both tools solve different problems.

Tally answers:
“Where did the money come from and where did it go?”

NGO management software answers:
“Who donated, why they donated, what impact happened, and how do we keep them engaged?”

Both are important.

When Should Your NGO Upgrade from Only Tally?

You should consider NGO management software if:

  • You have regular donors

  • You issue 80G receipts

  • You run multiple campaigns

  • You work with CSR partners

  • You struggle with follow-ups

  • Your documents are scattered

  • Your team spends too much time on manual work

  • You want better donor trust and reporting

If your NGO is still small, Tally may be enough for accounting.

But once donations, donors, and compliance start increasing, you need a proper system.

Tally helps your accounts stay clean.

SevaStack helps your NGO operations stay structured.

Final Thoughts

Tally is a good accounting tool.

But an NGO is not just an accounting file.

An NGO has donors, campaigns, compliance, projects, volunteers, reports, and long-term relationships to manage.

If you are only using Tally, you may be recording your past.

But with NGO management software, you can manage your growth.

The right question is not:

“Should we use Tally or NGO software?”

The right question is:

“Are we only managing accounts, or are we building a system for growth?”

For a growing NGO, the answer is clear.

You need both structure and accounting.

That is how trust is built.
That is how funding becomes easier.
That is how impact scales.
